Key Responsibilities
As the Executive Assistant to four members of the senior leadership team, your role is pivotal in ensuring seamless coordination and support across multiple departments including Sales, Marketing, Commercial, and Finance. You will serve as the primary point of contact for executives, providing comprehensive administrative assistance while managing various tasks crucial to the efficient operation of the office.
Sales and Marketing Support
- Calendar Management of Sales and Marketing Director
- Supporting with Reports by adding data to Board Report, Appointment packs and MSM meetings
- Adding in metrics to bloom Meetings (sales meeting, SLM, Marketing Meeting and 1:1’s).
- Send meeting reminders
- Share outstanding to-do 2 days before weekly meetings
- Inbox management and respond to e-mails and
- Prepare Slides for morning huddle
Commercial Support
- Manage inbox tasks, including replying to simple emails and flagging priority items.
- Maintain compliance records by updating ISO documents, folders, and completing related tasks within the ISO management system.
- Support EPR data management: collating information from suppliers, updating records, and preparing reports.
- Compile, format, and present reports, including data for board reporting.
- Administer the Atlas HR system for the wider team: logging absences/holidays, updating records, and acting as first point of contact for Atlas queries.
- Provide HR administration support (e.g., staff records, absence tracking).
- Attend leadership team meetings, record actions, and ensure follow-up is completed.
- Be proactive in handling routine communications and assisting with general administrative duties.
SLT/ Administrative Support
- Calendar management – keeping company calendar clean and ensuring relevant preparation is done prior to meetings (metrics in, commentary prepared etc).
- Cleaning up all teams and SharePoint folders and putting together an index to find all necessary processes and documentation. Keep this maintained.
- Keeping Atlas up to date with contracts/return to work/holidays etc
- Running star performer program (as in gathering info to enable decision).
- Ensuring SOPs are in place for every activity in the business.
- Setting Up and reporting on Employee Engagement Surveys
- Support with managing the employee lifecycle – Attraction, recruitment, Onboarding, Development, Retention, Offboarding.
Finance and IT Support
- Ensure accurate reporting by maintaining customer records on NAV through meticulous housekeeping.
- Maintain data integrity by conducting regular housekeeping for items on NAV.
- Responsibility for setting up new laptops.
- Manage the procurement process for stationary, IT and PC equipment
- Oversee petty cash management.
Quality, Environmental, Health & Safety (QEHS)
- Following all trained process to the letter without creating any short cuts to ensure quality management.
- Always ensuring H&S compliancy in the workplace, being mindful of your environment.
- Report any H&S issues to line manager at point of occurrence.
- Report any issues relating to breach of quality or environmental policy to line manager.
