About The Role
The Executive Assistant to Management provides proactive, high-level support to the company’s directors and leadership team while ensuring smooth coordination across business operations, client engagement, and project delivery.
This is a hands-on role for someone who thrives in a fast-paced, growing environment — balancing executive scheduling, communication and management of inbox with practical day-to-day activities like managing client samples, supporting bids, and coordinating outreach to prospective clients.
Your Responsibilities
- Executive & Leadership Support (as needed)
- Provide administrative and operational support to the directors, including inbox management (where required), diary management (where required), meeting prep, and
- travel coordination (where required).
- Draft and manage professional correspondence with clients, partners, and prospects.
- Track and follow up on key actions and priorities from Client and Team meetings.
- Client & Business Development Coordination
- Support with preparing and tracking samples sent to clients and prospects.
- Maintain accurate records of sample inventory, dispatch, and returns.
- Support the Bid and Sales teams by formatting proposals, assembling supporting documents, and assisting with submission processes.
- Coordinate and send outreach emails to prospective clients (from personal on behalf of a manager).
- Operational & Project Support
- Organize internal and external meetings, offsites, and client visits (where required).
- Support company projects, ensuring smooth execution and timely follow-up.
- Maintain shared files, and templates to improve efficiency across teams.
- Customer Service Support (as needed)
- Assist with general enquiries (the same or like Customer Service requirements), supplier coordination, and internal communications (where required).
- Collaborate with other departments to ensure alignment on priorities and deadlines.
Your Background
- Strong written and verbal communication skills, with confidence in client-facing interactions.
- Excellent attention to detail and time management.
- Proactive, flexible, and able to manage both strategic and hands-on tasks.
- Proficiency with Microsoft 365, Google Workspace, and CRM or bid management tools.
