Your Responsibilities
As an Executive Assistant, you must be proactive and highly organized to support our directors in a varied and fast-paced environment. This role involves both traditional EA duties and hands-on involvement with operational, CRM, and project support tasks. You’ll play a vital role in helping senior leadership stay focused, efficient, and aligned.
Key Responsibilities:
Executive & Strategic Support:
• Manage and prioritize email inboxes; respond or escalate as needed.
• Support with day-to-day schedule planning and calendar coordination.
• Join key meetings to take clear, actionable minutes and track follow-ups and ensure they are actioned
• Assist in communication and coordination between departments.
• Administrative & Operational Support:
• Complete supplier forms and manage onboarding documentation.
• Maintain and update project data in the operations sheet.
• Support proposal creation and editing based on business needs
• Research and compile contact information for leads, such as office move opportunities.
• Provide general admin assistance as required.
CRM & Sales Support:
• Input and maintain accurate records in the CRM (Salesforce).
• Create call sheets from Lusha and similar tools.
• Generate reports and scoreboards for sales meetings.
• Ensure consistent updates to CRM records to reflect ongoing activity.
Your background
• 1+ year of experience using Salesforce CRM in a professional setting.
• 3+ years of experience supporting senior executives or directors as an Executive Assistant.
• 4–5 years of overall EA experience, ideally in fast-paced, dynamic environments.
• Strong proficiency in Microsoft 365, particularly Excel (spreadsheets, pivot tables, reporting), PowerPoint (presentations and deck design, and SharePoint).
• Excellent communication, time management, and problem-solving skills.
• Ability to work with discretion, initiative, and a high level of attention to detail.
