The Role

As a Virtual Administration Assistant, this is to manage client suppliers in boxes and ensure all contractor invoices are processed accurately and efficiently. This role is key to maintaining financial accuracy and compliance across clients’ projects. The ideal candidate will have strong attention to detail, excellent communication skills, and experience with systems such as SimPRO or similar.

Key Responsibilities

  • Monitor and manage supplier inboxes to ensure all incoming invoices are reviewed promptly.
  • Review invoices for completeness and compliance, ensuring:
  • All required client paperwork has been provided.
  • The invoice is within the approved budget.
  • The invoice includes an itemized breakdown of costs.
  • Task approved invoices to the relevant State Manager for final review and approval.
  • Maintain contractor compliance by ensuring all licenses, insurances, and other required documentation are kept up to date in SimPRO.
  • Follow up with contractors for missing or expired documents.
  • Support the operations team with general administrative duties as required.

Your Background

  • Proven experience in an administrative, accounts, or compliance support role.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple email inboxes and prioritize workflow effectively.
  • Familiarity with SimPRO or similar job management systems (highly regarded).
  • Basic understanding of invoicing, budgets, and contractor documentation.
  • Excellent communication and organizational skills.
  • Proficiency in Microsoft Office Suite and general computer literacy.
