Our Client
In this role, you will be assigned to our Sydney-based client. They are a small and growing accounting firm that provides a broad range of accounting, outsourced business services, and tax solutions to Australian business clients.
They are a cloud-focused Xero only firm with a broad client base, ranging from high net wealth individuals, small to medium size businesses and large investment groups. As a result, our client base is varied, and the majority of our work comes in from referrals.
The Role
This role is suited to someone with strong Australian accounting, tax, bookkeeping and practice management experience who can confidently coordinate work across a remote team, monitor deadlines, support quality outcomes, and help ensure clients receive timely and professional service. You will generally become the first point of contact for many of our clients for the day-to-day accounting services we provide.
This role is suited for someone who is comfortable switching between various clients and tasks, maintaining correct and clean accounting records, and appreciating the value of developing and maintaining systemized processes and continuous improvement.
Your Responsibilities
- Team and workflow management
- Manage daily workflow and job management, job assignments and priorities using Karbon Practice Management system (with assistance from the Director). This includes tax returns, bookkeeping, BAS, client queries and related administration.
- Monitor job progress and ensure work is completed within agreed timeframes.
- Identify delays, bottlenecks or quality concerns and escalate matters where required.
- Manage and support 1-2 offshore accountant team members with questions, technical and process guidance and day-to-day priorities.
- Accounting, tax, and compliance workflows
- Oversee the preparation, review and delivery process for client accounting and tax-related work, including
- Reviewing ongoing bookkeeping and other accounting tasks, BAS/IAS returns and tax compliance and ensuring our client accounts are always review ready
- Preparation of financial statements and tax returns for business group entities (companies, trusts and individuals) and bringing the overall group position together for family group clients
- Review and assist team with bookkeeping, BAS, GST, payroll or ASIC-related workflow where required.
- Review and oversee Xero Payroll processing and compliance
- Prepare and/or review business reporting and forecasts for clients (using excel and/or Fathom reporting software)
- Ensure work is completed in line with Australian tax requirements and internal quality standards.
- Ensure client records, working papers and supporting documents are complete, accurate and well organised.
- Maintain awareness of relevant Australian tax and accounting processes, escalating technical questions to the Director where required
- Oversee the preparation, review and delivery process for client accounting and tax-related work, including
- Client Services
- Onboarding of new clients into our systems and processes
- Client support and job management, providing day-to-day client contact via emails (shared with the Director as required). Review or support responses to client queries from other team members where appropriate.
- Help ensure clients receive prompt, professional and helpful communication.
- Review and ensure client information requests are clear, complete, and followed up in a timely manner in accordance with internal and external deadlines
- Monitor outstanding client items and assist the team in progressing jobs efficiently.
- System and Processes
- Help continuously develop and improve processes and procedures, streamline workflows and enforce best practices and policies for scalable service delivery across our business. We are currently using Karbon and Notion to manage our Standard Operating Procedures (SOP’s).
- Maintain accurate records in relevant practice management, accounting and communication systems.
- Assist with training new or existing team members on processes, expected standards and technical requirements.
- Practice management and administration
- Support onboarding, training and performance feedback for team members where needed.
- Assist with other operational or administrative tasks as required (and developing processes to automate these over time)
- Ad hoc tasks and project work with the Director
- Comply with the Organization’s Information Security Management System (ISMS), including all applicable information security policies, procedures, standards, and guidelines.
Your Background
- Minimum of 6 years of Australian bookkeeping, business services, and tax experience within an accounting firm environment
- Strong understanding of Australian accounting principles, tax compliance and bookkeeping practices. Experience in preparing financial statements, preparing and reviewing tax returns for individuals, companies, trusts, and partnerships
- CPA qualified (or substantially progressed)
- Highly experienced in Xero, Xero Payroll, XPM, and Karbon practice management system
- Proficient with Microsoft Excel and other Microsoft 365 apps
- Experience with Fathom reporting software, Active Workpapers (Business Fitness), Approval Max, Dext, BGL corporate compliance software, and ASIC filing processes
- Excellent organizational and time management skills and a collaborative work style
- Organized with strong attention to detail and ability to prioritize your workload independently
- Excellent English verbal and written communication skills. Able to present financial information clearly and simply to non-financial stakeholders in Australia
- Experience and confidence in using the ATO portal and managing ATO correspondence for clients
- Keen interest and curiosity in technology, integrated workflows and apps, and increasing efficiency of processes and standardization
- Experience leading or supervising a small team (3+ members) is strongly preferred
