The client is a Barcelona-based relocation company that helps English-speakers from the US, UK, Canada, and Australia navigate every stage of a move to Spain. Founded by two people who made the move themselves, they have guided thousands of clients through the process and built a trusted reputation for honest, practical, expert-led advice. Their team is small, their standards are high, and they work asynchronously across time zones with clear processes and detailed guidelines so you are never left guessing. 

We are looking for a Marketing and Sales Administrator to provide reliable day-to-day support across marketing and client-facing operations. The successful candidate will be responsible for maintaining website content, producing and scheduling social media content, supporting PR research and reporting, and coordinating the administration of webinars. 

This is a hands-on role within a growing business where responsibilities will evolve over time. While some processes are documented, others require initiative, resourcefulness, and the ability to work independently with minimal supervision. The ideal candidate is highly organised, adaptable, and capable of managing multiple priorities while contributing to the continuous improvement of internal processes. 

Your Responsibilities 

To be clear, the areas below describe the type of work you will take on, not a fixed list. In a small, growing business, the specifics shift regularly, so expect the mix to change over time and new things to land on your plate as we grow. What stays the same is the kind of role: reliable, hands-on execution across our marketing and sales-support work. 

Website Content 

  • Update published articles on instruction, at scale across the site; for example, changing a figure everywhere it appears, or moving references from one year to the next. 
  • Make the changes as directed by the client, and flag anything that looks like a material change for sign-off. Many pages carry advice people act on, so accuracy matters. 
  • Keep a clear change log and maintain website content in WordPress following the client’s house style. 

Social Media Production and Scheduling 

  • Operate the weekly social calendar across Instagram, Facebook, YouTube, and TikTok, keeping posts moving on schedule and the calendar up to date.  
  • Build carousels from client-provided copy using approved Canva templates.  
  • Edit talking-head footage and B-roll into finished, on-brand reels using CapCut, Edits, or similar tools.  
  • Load and schedule every post as a draft in Metricool and quality-check each one before sign-off.  
  • Keep the shared image and footage library organised, source imagery to a brief, coordinate assets from partners, and assist with the logistics of commissioned shoots.  
  • Help set up and grow the YouTube channel, including uploading, titling, thumbnails, and descriptions.  

Strategy, copy, and creative direction will be provided by the client. You will be responsible for production, scheduling, and quality checking prior to approval. 

PR Research and Pipeline Support 

  • Build and enrich targeted journalist and media lists. 
  • Pull and organise data to keep the PR pipeline populated and current. 
  • Support research and data administration for outreach activities. 

Marketing Measurement and Reporting 

  • Keep campaign tracking clean by applying UTM conventions consistently, tidying legacy tagging, and maintaining accurate campaign data. 
  • Support ongoing campaign tracking and reporting using established processes. 

Webinar Administration 

  • Manage webinar administration, including invitations, attendee emails, scheduling, and speaker coordination.  

General Support 

  • Provide marketing and sales administrative support as priorities evolve.  
  • Maintain light process documentation.  
  • Manage your workload independently, communicate progress proactively, and flag competing priorities.  
  • Work collaboratively with internal stakeholders and obtain approval before making changes to published or client-facing content.  
  • Demonstrate initiative while asking for guidance when required. 
  • Comply with the Organization’s Information Security Management System (ISMS), including all applicable information security policies, procedures, standards, and guidelines. 

Your Background 

Essential 

  • Relevant experience in marketing and sales administration is required. 
  • Excellent written English and a sharp eye for detail. Much of this role is accuracy at scale. 
  • Short-form video editing for social using CapCut, Edits or equivalent, with a good sense of pacing and how a reel is cut. 
  • A strong visual eye: matching imagery to a brief and making content look good on the feed. 
  • Confident in Canva, working from templates. 
  • Experience editing website content, ideally in WordPress. 
  • Comfortable using AI tools in daily work (e.g., Claude) and following and improving defined workflows. 
  • Organised and self-managing: able to run a weekly schedule and juggle competing priorities without being chased. 
  • Comfortable with ambiguity and a small-team pace, happy to use initiative and roll with change. 

Desirable 

  • Hands-on experience running or growing a YouTube channel. 
  • Experience with Metricool or a similar social scheduling platform. 
  • Familiarity with UTM tagging, GA4 or campaign tracking. 
  • Experience with GoHighLevel or another CRM. 
  • Experience supporting webinars or online events.
