The Role

The Project Coordinator will be responsible for maintaining a comprehensive register of project details, including cost, resource allocation, risks, and invoicing status. This role is critical in ensuring that projects are delivered on time, within budget, and to the highest quality standards.

Your Responsibilities

  • Maintain a detailed and up-to-date register of project details, including project scope, objectives, deliverables, and timelines.
  • Ensure all project documentation is accurate, accessible, and stored appropriately.
  • Ensure time sheets submissions for delivery resources.
  • Track project costs and expenditures, ensuring alignment with the approved budget.
  • Report on budget variances and support the Project Manager in budget forecasting and management.
  • Maintain a register of resource allocation, tracking the availability and assignment of team members.
  • Assist in scheduling and coordinating resources to ensure project needs are met.
  • Track the status of project invoices, ensuring timely submission and payment.
  • Liaise with the finance team to reconcile project costs and invoicing.
  • Provide regular updates to the Project Manager and other stakeholders on project status.
  • Prepare and distribute project status reports, including progress, risks, and financial updates.
  • Produce PMO reports related project health status
  • Assist the Project Manager with administrative tasks and project coordination.
  • Maintain and improve project methodology artifacts

Your Background

  • Bachelor’s degree in business administration, Project Management, Information Technology, or a related field.
  • 2+ years of experience in project coordination or a similar role, preferably within a ServiceNow or IT services environment.
  • Proficiency in project management software and tools (e.g., Microsoft Project, JIRA, ServiceNow Project Portfolio Management).
  • Strong MS Office skills, particularly in Excel for budget tracking and reporting.
  • Excellent organizational and time management skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Understanding of project management principles and methodologies (e.g., Agile, Waterfall).
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and ability to work collaboratively with cross-functional teams.
  • Ability to communicate effectively with stakeholders at all levels of the organization.
  • Strong analytical and problem-solving abilities.
  • Ability to anticipate potential issues and develop proactive solutions.
  • High level of professionalism and integrity.
  • Ability to work independently and as part of a team.
