The Role

The Sales Support/Administrator supports the Project Sales function by researching active UK construction projects, identifying and verifying relevant contacts, updating CRM data, and helping move projects through early deal stages. The role is focused on information accuracy, persistence in follow-up, and consistent communication.

This is not a lead generation position. All projects already exist in HubSpot. The sales support/administrator will enrich these projects with verified details drawn from internal communications.

 

Key Responsibilities

Project Research and Data Enrichment

  • Review existing HubSpot projects and cross-reference with client to identify missing or updated information.
  • Populate HubSpot deal records with accurate details such as companies involved, project scope, and contact names.
  • Maintain consistency and clarity across all project records.

Contact Identification and Verification

  • Call and email companies connected to each project (main contractors, architects, subcontractors) to confirm who handles relevant work packages or specifications.
  • Use HubSpot Calling for all outbound calls and log every call and email.
  • Aim for approximately 10 dials per hour and 5 outbound emails per hour, keeping communication professional and clear.

 Deal Progression and Follow-Up

  • Work to progress at least one project per day out of the “Details Research Needed” or “Specification Research Needed” stages.
  • Record outcomes of contact attempts clearly (e.g., contact found, awaiting reply, confirmed specified, etc.).
  • Hand overqualified projects to Project Sales when appropriate.

Communication and Support

  • Get in touch with the Project Sales Manager whenever guidance or clarification is needed.
  • Provide a short weekly update summarising key activity and any issues encountered.

Continuous Improvement

  • Follow the provided SOPs carefully.
  • Maintain a professional approach in all communications and data handling.
  • Offer feedback on any areas of the workflow that could be improved.

Key Performance Indicators (KPIs)

  • Approximately 60 dials per day using HubSpot Calling.
  • Approximately 30 outbound emails per day.
  • Around 6 successful connections per day (10% connect rate).
  • Around 3 projects per day with new or confirmed details added.
  • Around 1 project per day moved out of early research stages

General expectation of consistent accuracy and completeness in CRM data.

Skills and Requirements

  • Strong English communication skills (spoken and written).
  • Experience using CRMs (HubSpot experience an advantage).
  • Comfortable making B2B phone calls to UK companies.
  • Reliable, detail-oriented, and methodical in approach.
  • Stable internet connection and quiet workspace suitable for calls.
